Use this checklist to make your estimate explicit. Adjust it to the actual scope and costs of the job.
1. Define the work
- Confirm the property, service type, condition and requested frequency.
- Write down what is included, excluded and separately priced.
- Allow time for access, setup, paid travel and cleanup.
- Confirm how many cleaners will work and how long each will work.
2. Check the numbers

Other direct job costs: $ Target contribution margin: %
Total labor hours = cleaners × hours per cleaner
Entered job costs = labor hours × hourly labor cost + other direct costs
Contribution = quoted price − entered job costs
Price for target margin = entered job costs ÷ (1 − target margin as a decimal)
Include the value of owner labor and employer costs. Do not count paid travel or another cost twice. The remaining contribution must still cover fixed overhead and other costs not included here.
3. Give the client a clear next step
- Check the scope and price match the same job assumptions.
- Explain when and how the client can accept the quote.
- Record the quote and a suitable follow-up date.
Example: 2 cleaners × 3 hours × $25 labor cost + $30 other costs = $180 entered costs. A $240 quote leaves $60 contribution, or 25%. A 30% target implies $257.14, before any costs omitted from this worksheet.
